Purpose of processing
We process your personal data for the organisation, implementation, and evaluation of the 2nd HECOS consensus meeting.
This includes:
- managing event registration and participation
- assessing the professional and scientific composition of participants as a quality benchmark for the meeting, and
- organising differentiated participation conditions (e.g., full or partial attendance).
If you voluntarily provide information on food allergies or intolerances, this data is processed solely for the purpose of catering.
If you request partial attendance reserved for patient participants, we will process information indicating that you qualify as a patient. This may constitute health-related data. Such information is processed solely for the purpose of organising participation conditions and, where applicable, for scientific evaluation within the scope of the study.
Categories of data
- Registration data (e.g. name, affiliation, contact details)
- Information on professional role or lived experience relevant to the meeting (e.g. physician, researcher, patient)
- Information indicating eligibility for partial attendance (reserved for patient participants)
- Health-related information only if voluntarily provided (e.g. food allergies or intolerances)
Legal basis
- Article 6(1)(b) GDPR – processing necessary for participation in the meeting
- Article 6(1)(a) GDPR – consent
- Article 9(2)(a) GDPR – explicit consent for health-related data
Where information indicating patient status is processed (e.g., in connection with partial attendance), processing is based on your explicit consent pursuant to Article 9(2)(a) GDPR and is limited to the purposes described above.
Providing health-related data is voluntary and not required for registration.
Requesting partial attendance is voluntary; however, eligibility for partial attendance requires disclosure of patient status.
During the meeting, photographs and/or video recordings may be taken. Processing of such recordings is based on separate consent and is described in the photo notice provided during registration.
Retention of registration and study data
Personal registration data (name, email, contact details) will be retained only as long as necessary for organisational purposes, authorship, or follow-up related to the meeting, but for no longer than 2 years. Once administrative use is completed, relevant registration data (e.g., country, professional role, or experience with hand eczema) will be anonymised and may be used for scientific evaluation, publications, and presentations. Anonymised data may be retained indefinitely for scientific purposes.
Health-related data (food allergies or intolerances) will be deleted as soon as it is no longer required for catering purposes.
Information indicating patient status for the purpose of organising partial attendance will be deleted once it is no longer necessary for organisational purposes and will not be retained beyond the retention period stated above, unless anonymised for scientific evaluation.
Recipients
Your data will not be disclosed to third parties outside the University Hospital Dresden unless required by law.
Your rights
You have the right to:
- access your personal data (Article 15 GDPR),
- rectification (Article 16 GDPR),
- erasure (Article 17 GDPR),
- restriction of processing (Article 18 GDPR),
- data portability (Article 20 GDPR),
- withdraw consent at any time with effect for the future (Article 7(3) GDPR), and
- lodge a complaint with a supervisory authority (Article 77 GDPR).
